ioby seeks a Special Projects Operations Manager to join our team. Reporting to the Chief Finance Officer, our future Special Projects Operations Manager will play an important role in operationalizing ioby's ongoing and evolving work on equity and inclusion into our policies and practices on personnel, financial, legal, compliance, information technology, facilities / vendors and operational issues related to the projects funded on ioby.

Reporting to the Chief Finance Officer, this Special Projects Operations Manager will play a critical role in solving new complex special projects related to the intersection of operations, legal, compliance, IT, and personnel as they arise. We expect special projects will comprise about 40% of this role's time. Responsibilities will include ongoing projects as well, such as managing personnel and benefits (20%), facilities and equipment (20%), legal, audit and financial transparency (20%).

This job may require occasional work outside of ioby's regular business hours (9am-6pm Eastern; Monday through Friday).

Job Activities
The Special Projects Operations Manager will report to the CFO, and:
  • Manage all staff onboarding and offboarding
  • Manage all all benefits and payroll
  • Provide administrative support to hiring managers
  • Provide administrative support for team trainings and professional development
  • Create training and documentation for all operations and financial systems
  • Provide administrative support regarding personnel policies
  • Manage facilities, equipment and office supplies
  • Liaise with outsourced IT provider
  • Work with CFO and product team to inform software decisions
  • Liaise with pro bono attorneys and provides administrative support on all legal matters
  • Provide administration support to the CFO in audit and 990 preparation and transparency
  • Scope, research and make legal, operational and financial recommendations on special projects approximately weekly. Examples include project eligibility questions, building a new disbursement system, providing direct cash assistance, and more.
  • Where appropriate, lead implementation following the findings of the special projects.
  • Provide administrative support to organizational morale and team culture
Requirements
Candidates for this position must have the following characteristics:
  • Experience operationalizing equity and inclusion from the perspective of organizational operations, policy, procedure, and personnel
  • Experience working within the legal financial obligations of a 501c3 nonprofit
  • Responsive in communication, quick to action
  • Excellent written and verbal communication
  • Attentive to detail
  • Experience managing up and across lines of reporting
  • Experience managing several, most or all of the following
    • legal / compliance
    • facilities
    • group retreats or analogous in-person events
    • agencies and vendors
    • personnel / human resource benefits
    • ops and IT
  • Experience working on a distributed team
  • Comfort working on a distributed team
  • Demonstrated use of good judgment
  • Demonstrated experience using discretion in past roles
  • Responsible
  • Desire to work at a multiracial organization in the midst of a long-term process of creating a Racial Equity and Inclusion Framework
  • Self-driven and accountable to your own goals
Extraordinary candidates for this job will have all of the must have characteristics and the following nice to have characteristics:
  • Experience using a variety of software programs, including at least one CRM and one CMS
  • At least 5 years experience using excel
  • Experience with Salesforce
  • Experience working at an antiracist organization
  • Experience working with or knowledge of the legal obligations a nonprofit fiscal sponsor

Benefits
This is a full-time, salaried position in the $53,000-$74,000 range for candidates in New York City, San Francisco and other equivalent geographies. For candidates in other areas, the salary is adjusted for cost of living. We are actively seeking candidates to work in some of ioby's priority places: Memphis, Detroit, Cleveland, Pittsburgh and Cincinnati.
The position includes a generous benefit package (including full coverage for health, vision, and dental, 27 vacation days, 10 sick days, 7 holidays, and an attractive 'Whole Person' policy).
