Nathan James is looking for an Assistant to the CEO to join our team in providing top tier administrative and special projects support for our CEO, other executives and key departmental stakeholders.

ABOUT THE ROLE

A person who will be happy, fulfilled, and successful in this role and as a remote worker at Nathan James is someone who values life and identity outside of work. 
For this role we do require that your normal workday has at least 4 hours overlap with the Eastern Standard Time workday (currently UTC-5) without impinging on your personal/family life. Occasionally travel for this role is also required.We’re searching for an Assistant to execute on day to day activities, administrative tasks, and special projects for our CEO and other executives, key stakeholders, and by proxy, the broader team at Nathan James where needed. 
This person will sit on the People team and report to our Head of People Operations. 
Overtime, you’ll become an extension of our CEO by having the ability to anticipate his needs, see around the corner, and remember things before he does. 
This role is ever changing in it’s nature as new projects come to light, as such, being highly adaptable and flexible is a must. 
Your day to day primary responsibilities include:
  • Serving as the point of contact for planning between executives and external vendors
  • Managing the calendar of the CEO 
  • Managing personal the CEO matters for executives and others where needed
  • Managing travel arrangements where needed
  • IT Troubleshooting
  • Purchasing of new hire equipment 
  • General support for onboarding new hires where needed 
  • Supporting with legal mechanism creation and organization
  • Supporting with documentation and database organization where needed

ABOUT YOU

We’re looking for a flexible, highly adaptable, motivated, and execution-oriented Assistant who is a top-tier communicator and loves helping people with the small to the large tasks. You probably love sticky notes, are hyper-organized by nature, and get satisfaction by both creating and checking off those daily to-do lists in order to make everyday operations simple and painless. This means being a great problem-solver (who can think outside the box).  You’ll be expected to process and resolve issues quickly, and with little direction at times. 
We’re looking for someone with deep career ambitions as an Assistant to the CEO and someone who truly believes in the value of this role as their calling. 
This person should have the ability to ramp quickly when it comes to new information and learning new things — providing relief for our CEO with everyday tasks. Having at least 3+ years of experience supporting a CEO or executive in the past is a must in this role, as you’ll be able to pattern match previous experiences and understand everyday shifting tasks and priorities are inherent in supporting an executive. Additionally, you will be contributing to projects related to finance and legal elements, so a strong appetite and experience in financial and legal literacy of 2+ years is desired. For example, if you know the difference between cash flow and income statements, and you know how to review a contract and surface up dubious sections, you will do well in this role. 
As an extension of the CEO and working with sensitive information so the ability to build trust quickly is critical, we desire a high level of professionalism, confidentiality, discretion and judgment, and written and verbal communication. 
One of the main ways we build trust at Nathan James is by doing what we say we will do by when we say we’ll do it or communicating otherwise. As such, this person should inherently be self-directed and autonomous, have experience managing a varied workload from multiple inputs, and prioritize the day to day against the bigger picture.
This role will also provide strategic support to our CEO and will help him organize and execute on larger picture items and special projects — catching the small things and being extremely detail-oriented is a must have in this role!
This is a remote role since we are a remote company! You’re free to work where you work best, anywhere in the world: home office, coworking space, or coffee shops. That hinges on effective writing, self-discipline, and comfort with open communication.
